Back your files up regularly!

Before you start using FileCalendar, there are a few things that you need to know

FileCalendar stores files (documents, pictures, contacts and notes) to the calendar. Files can be added with the import function or transferred to the FileCalendar by other apps.

  • The FileCalendar is used to store files for events. Avoid deleting events - even on other devices!

All files are always stored locally on the respective device by the app. The user decides if and which files leave the device. With the help of file sharing (transferring and importing files), files can be synchronized manually with other devices or shared with other people.

The app is equipped with numerous file sharing functions. To get the most out of these features, you should install a cloud app (such as the iCloud Drive or DropBox) on your device.

Backup with all files

Backups (backup copies) are created in the file manager by clicking Backup. The backup includes all files that are displayed in the File Manager. The following functions can be used to restrict the files displayed.

Always save your backups in one place so you can find them. Set up a backup folder in your iCloud Drive.

Our Tip

Create backups for your projects

  • 1. Click on >Calendar< in the start screen and create your own calendars for your projects
  • 2. Assign your events in >event Details< the corresponding calendars.
  • 3. Deactivate all calendars that do not refer to the project. Click on >Calendar< in the start screen.
  • 4. Go to the file manager of the app and click on Backup in the footer.

Backup with all event files

Create backups with all files saved for an event.

  • Open the event and go to >All files< and then to >Edit<.
  • Select the files you want to transfer.
  • Select the file sharing icon to transfer or save the backup.

    Select the desired icon to save the file. If you want to save the backup to the iCloud, click on Save to Files.

    Note: The FileCalendar folder can be set up on the iPad, iPhone or Mac in the iCloud.

Import Backup

Import backups you created with the FileCalendar.

  • Open the event and select >Documents<
  • Click on the >Plus symbol<
  • Choose Browse
  • Select >Backup<

    Open the FileCalendar and go to the desired event. Then click on the + symbol.

    Here you can find different storage locations where you stored your files. Choose the appropriate location (in the picture: iCloud Drive) and then the folder with the saved backup (in the picture: FileCalendar).

    Here you can determine how the files should be uploaded to the event.

    • Option 1: Select >Unpack< to restore the individual files.
    • Option 2: Select >Import as zip< to keep all files in the zip folder after import.

Transfer files from Mac to FileCalendar

Files can be transferred to other iOS devices with AirDrop and stored there in the FileCalendar.

  • Start on the iOS device >AirDrop<.
  • Go to your Mac and start >Finder<
  • Mark the desired files with the CMD key (`⌘`) and the > mouse<.
  • Switch to >File< and select >Compress objects<.
  • Click on the compressed files (Archive.zip) and then on the >Filesharing< icon in the menu bar.
  • Take your iOS device in your hand. Several destination apps will be displayed to transfer the files. Select the FileCalendar App.
  • Choose the date, the date with the >attach button<

Tip: Files can also be transferred to the FileCalendar using iTunes.

Copy or move files from event to event

All files and contacts can be copied in the FileCalendar or moved to another event.

  • Go to the event where the files to be copied or moved are located.
  • Click on >Edit<
  • Select the files to be copied or moved.
  • Select the icon with the arrow pointing to the right.

1. Privacy Statement for FileCalendar App / FileCalendar Lite App

The FileCalendar is used on the iPhone, iPod touch and iPad.

In the FileCalendar documents, pictures, contacts and notes can be added to events. The app accesses the calendar (Apple Calendar). The user should allow access to the calendar. Under 'Settings / Privacy' the access can be activated and deactivated. Hence FileCalendar needs access to the calendar, if the Apple Calendar is disabled, the app will not work.
Other calendars (such as the Google Calendar) can be connected to his device as well. In these cases, FileCalendar will also access these calendars.

The saving of documents, pictures, contacts and notes to the calendar appointments, which the user adds to the FileCalendar, takes place exclusively locally on the respective iOS device. Technically required calendar information is also stored locally on the corresponding device for this process. Homburg & Schmidt UG (haftungsbeschränkt) has no access to this data.

Calendar events that the user creates, changes or deletes in FileCalendar are automatically synchronized with corresponding calendars (eg Apple or Google). Homburg & Schmidt UG (haftungsbeschränkt) has no access to this data.

The 'Info' page of the app is connected to our website https://filecalendar.com/app-info/en-help via secure SSL encryption. In this context, we point out that no cookies are stored on the info page (see Section A, No. 4 of our Privacy Policy). An integration of webfonts does not take place either (see section A, no. 6 of our Privacy Policy). As soon as the user clicks on the "info" button in the app, the connection to the page is set up, so that the operating instructions can be loaded and displayed on the info page. The connection to our website is made with Safari Browser. The WebKit of Apple Inc. was used for this. When you open the 'Info' page, information is stored in so-called server log files, which your browser automatically sends to us (see Section A, No. 5 of our Privacy Policy).

If you send us a message by e-mail or via our contact form, the information you have given us will be stored in order to process the request and possible follow-up questions. These data will not be forwarded to third parties without your consent. Section A., No. 3 of our Privacy Policy applies mutatis mutandis.

2. privacy policy for the use of Crashlytics (Fabric)

FileCalendar can send information to fabric to quickly identify and resolve causes that have caused an application to crash and errors. If the sending of the information by the user is allowed, also information about the use of the app (such as frequency and duration) will be forwarded. The data is collected using the tool crashlytics (https://fabric.io/kits/ios/crashlytics) provided by fabric (https://fabric.io/kits), a software development kit (SDK) of the Google LLC (formerly Google Inc.). The Services automatically collect certain information that does not personally identify End Users who access or use mobile applications that use the Services. This information includes, but is not limited to, device state information, unique device identifiers, device hardware and OS information, information relating to how an application functions, and the physical location of a device at the time of a crash.

3. privacy policy for beta versions concerning the use of TestFlight

At the request of the user, beta versions can be tested in the App Store with TestFlight before they are released.

TestFlight is an analytic service provided by Apple that allows app developers test their programs. As soon as the developer uploads his app to TestFlight, the service automatically distributes the app to the testers. The reports created by TestFlight are available to developers to improve their apps.

During a test phase, it is occasionally offered to apply for participation in the test on our homepage. If you wish to apply for testing you have to enter your e-mail address, prename and surname in a contact form. After clicking on the „Take part in the test" button, we will receive this information as an e-mail and insert it into our account at TestFlight, so that the trial version can be distributed to you by TestFlight. TestFlight will send to you an invitation by e-mail. Participation is possible if you accept the invitation.

Personal data collected: cookie, e-mail and usage data.
Privacy Policy

The information provided to us (email address, prename and surname) will be deleted after expiry of the test phase (maximum 90 days) from our TestFlight accounts by us.

Alert (reminder)

In >Event Details< you can active a reminder for your events. This is how it is done:

  • Got to the event.
  • Click on >Date Details<
  • Click on >Edit<
  • Go to >Alert< below

Activate camera

Check whether the camera for the FileCalendar is activated on the device. This is how it is done:

  • Go to >Settings< on your device.
  • Select >Privacy<
  • Select >Camera<
  • Activate FileClaendar

Transfer files to other devices

Option 1: Cloud App

Two options are available to transfer files to the FileCalendar of another iOS device.

  • Share files via Cloud App
  • Direct transmission with AirDrop
  • Step 1

    Start the FileCalendar.

    Search in the event area or in the file manager for the event with the files.

    Select a cloud storage app in which to store the zip file.

    Start the FileCalendar on the other device, go to the event and select the + icon in the Documents folder to import the file or zip file (for multiple files) from the desired Cloud App.

Transfer files to other devices

Option 2: AirDrop

Two options are available to transfer files to the FileCalendar of another iOS device.

  • Share files via Cloud App
  • Direct transmission with AirDrop

    Enable AirDrop on both iOS devices.

    Start the FileCalendar and go to the event with files to be transferred.

    Click on the round button to select an iOS device activated for AirDrop in the navigation area to transfer the file to the other device. After the successful transfer, the message Sent appears below the button.

    Switch to the other iOS device. There the navigation window AirDrop Open with …appears. Select the FileCalendar and then the event. Confirm with Attach. Done!

Events are not displayed

If the desired date cannot be found, the following checks are necessary:

  • Go settings on your device
  • Calendar
  • Sync
  • All Events

Only active calendars are displayed in the FileCalendar. On the home screen (below), click Calendar to activate the calendar you want.

Notes

Notes are created device related as a file or entered classically in the known note field of the calendar.

With the note variant as a file, several notes can be created for the event and saved in the Notes folder. The notes are portable and can be forwarded with file sharing.

  • Go to the event.
  • Click on the folder >Notes<
  • Click on the + symbol in the header.
  • Create the note.

All notes can be dictated. To start the function, click on the microphone icon in the keyboard.

  • Enter the note in the >Notes< field.

Quick start guide

Learn how the FileCalendar works: Save your first document to a calendar date in four steps. Use an email attachment.

  • Select the mail with the file attachment.
  • Keep the attached file pressed until the navigation area with the FileCalendar icon appears.
  • Click the FileCalendar icon on the navigation pane to transfer the file to the FileCalendar.
  • Select a calendar date to save the file.

Synchronize calendar events

Your events are automatically synchronized with the standard calendar. Events are synchronized across all devices.

Rename files

  • Click Edit to rename the desired file.

Images

Photos and movies created in the FileCalendar always remain on the device. To use them on other devices, they must be made accessible by transferring them to another app or device. We recommend that you transfer photos or movies with Save Image to the iCloud.

That's how it's done:

  • Open the file in the FileCalendar
  • Click on the file sharing icon.ol.
  • Select >Save Image<

Supported file formats

More than 20 popular file formats are supported, among others:

  • docx, pptx, txt, xlsx, key, numbers, pages, pfd, jpg, png, mp4, m4a, zip

File Manager

The app is equipped with an easy-to-use file manager that can be opened by clicking on the left icon in the header of the home screen. All saved files are clearly displayed there.

Calendar views

Click on 7 in the header of the home screen to start the week view. On the right side you will find the number of the week and the symbol with the three stripes. Click on this symbol to get all files of the week. The app also provides a week view as a file.

Change colors

In the FileCalendar, all events and files are always displayed in the color of the respective calendar. The calendar colors can be changed in the FileCalendar with a few clicks.

  • Start the FileCalendar App and click on Calendar in the footer.
  • Select the appropriate calendar and click on the round >i< icon on the right.
  • Change the color and confirm in the header with >finished<.

Other colours

You can also customise your calendar colours in the iCloud under Calendar. Go to www.icloud.com and open your account there.

Import files into the FileCalendar

The import function can be used to import files within a FileCalendar event. Zip files are unpacked.
All files stored on the iPad or iPhone are offered for selection in the document, pictures and contact folder.
You can also access files stored in cloud applications (e.g. iCloud Drive or DropBox) from the document folder. Is it a prerequisite that a corresponding Cloud App is installed on the device.

Use the FileCalendar Inbox

The documents folder can also be filled with files stored on your Mac or PC via iTunes. The iPhone or iPad is connected to the PC or Mac with a secure USB Lightning cable. The files are accessed in the FileCalendar by selecting the Inbox (file sharing) located in the document folder.

Transfer files from other apps

Files can be saved by all apps to calendar events that support the FileCalendar.

How to start the transfer process

Cloud apps like DropBox or Google Drive offer different ways to start the transfer process.

Also follow the instructions provided by the provider of the respective app.

Transfer files to your Mac

  • Open the FileCalendar
  • Click on the event
  • Select the file
  • Click on the >File sharing< icon
  • Choose your Mac

Delete files

There are three ways (1-3) to delete files in the FileCalendar:

Open the file manager. Select Edit and select all files you want to delete. Click on the trash can icon.

In the FileCalendar, select the event in which the file is located. Drag the file to the left to delete it.

Delete the event to which the file is connected.

  • All files stored for the event will be deleted on all devices!

Merge files into Zip folders

The FileCalendar can be used to create Zip folders from multiple files. Zip folders can be uploaded to cloud storage services and stored, for example, as backup files. It is also possible to forward the Zip files with the mail app or transfer them to another device with AirDrop.
This is how it is done:

  • Open the file manager or click >All files< in >Event<.
  • Klick an >Edit<
  • Select files.
  • Click on the >File sharing< icon.
  • Rename the Zip folder if necessary.
  • Select the app to which the zip file should be transferred.

Edit files

Option 1: Standard

  • Transfer file to other app for editing
  • Open file for editing with link in the Dropbox.

Documents saved in the FileCalendar can be transferred to other apps and edited there. To ensure that the latest version is always available in the FileCalendar, the file should be transferred back to the FileCalendar after it has been edited.

Edit files

  • Start the FileCalendar
  • Select the event with the saved file
  • Seect the file
  • Click on the file sharing icon and then on the app you want to use to edit the file
  • Edit the file and save it in the app to preserve the customizations

Transferring files back to the FileCalendar

  • Search the app for a file sharing icon. Apps sometimes also offer text buttons like >Transfer Files<, >Copy Files<, etc.
  • Select the FileCalendar icon
  • Select the date and then calendar event. Confirm with >Add<
  • You can change the file name when you add the file: Add a version number.

Edit files

Option 2: Link to the Dropbox

  • Transfer file to other app for editing
  • Open file for editing with link in the Dropbox.

Documents can be opened and edited using a link in the drop box. The link should be inserted in a suitable place in the file.

Insert link

  • Open the Dropbox App
  • Click on the file
  • Click on the icon with the chain symbol
  • A navigation area opens. Select 'Copy Link'
  • Open the file and insert the link in a clearly visible place - if possible on the first page
  • Transfer the file to the FileCalendar with >Export<. Click on the icon with the three dots and then on >Export<.
  • Note that all files stored in the FileCalendar are always stored locally on your iOS device. So the files are not connected to the cloud storage service and can only be updated manually in the FileCalendar.

Updating a file in the FileCalendar manually

  • Go to the event, select the folder >Document< and click on the + icon
  • Search for the Dropbox under >Locations<
  • Click on the file
  • You can change the file name when you add the file: Add a version number!

Transfer files with iTunes

Files can be stored in the Documents folder for selection. To do this, the files must be transferred to the Inbox of the FileCalendar via iTunes (file sharing). For this purpose, the iOS device and the Mac or PC are connected with the Lightning cable (USB).

Transfer files to cloud storage services

With FileCalendar, files can be transferred to cloud storage services such as Dropbox, Google Drive, iCloud Drive or OneDrive. They can then be accessed on all connected devices. The app have to be installed on your iOS device for each cloud storage service you want to use.

  • Start the FileCalendar
  • Go to the calendar event where the file is located
  • Open the file
  • Click on the file sharing icon
  • Select the cloud app to which the file should be transferred
