Before you start using FileCalendar

Back your files up regularly!

What you should know about FileCalendar

FileCalendar is a calendar that stores files (documents, pictures, contacts, links and notes). Files can be added with the import function or transferred to FileCalendar from other applications.

  • The FileCalendar is used to store files for events. Avoid deleting events - even on other devices!

All files are always stored locally by the app on the respective device. The user decides whether and which files leave the device. With the help of file sharing (transfer and import files), files can be synchronized manually with other devices or shared with other people.

The app is equipped with numerous file sharing functions for sharing or transferring files. To get the most out of these features, you should install a cloud storage app (such as the iCloud Drive or Dropbox) on your device.

We recommend the in-app purchase of additional functions for files.

  • The functions simplify the exchange of stored files across devices
  • and enable the recovery of deleted files within 30 days.

With the In-App Purchase of additional functions for files, we offer two helpful functions for exchanging files across devices and restoring deleted files.

Exchange files across devices

Create event related backup copies with all saved files (documents, contacts, links, notes and pictures) in no time. You can import the backups into FileCalendar at any time - no matter what iOS device you use. There are three options available.


In all events you will find a cloud symbol. Tap the cloud icon to create or import an event related backup copy. When you tap Transfer Files, a backup will be created that you can upload to a cloud storage app. When you tap Import files, you can import any backup you want into your event.

Transfer files

Tap Next to transfer all files stored in the event to the iCloud Drive or another cloud storage app. The app creates a zip file for this purpose. The file name (backup name) is automatically generated from the date of the event, the start time, the event name and the device name.

Import files

Tap Choose to import a backup copy of the files saved for an event. Change the import option if necessary. Then tap Next. That's it! All files are now in the event.

Recover deleted files


The In-App Purchase allows you to recover files (documents, images, notes and links) deleted in FileCalendar within 30 days. You can find the function in the file manager. Tap on the life buoy there.

Backup with all files

Backups (backup copies) are created in the file manager by clicking Backup. The backup includes all files that are displayed in the File Manager. The following functions can be used to restrict the files displayed.

  • Disable individual calendars in >Calendar< on the home screen.
  • Activate filter in file manager of the app
  • Always save your backups in one place so you can find them. Set up a folder for FileCalendar in your iCloud drive.

Create backups for your projects

  • 1. Click on >Calendar< in the start screen and create your own calendars for your projects
  • 2. Assign your events in >event Details< the corresponding calendars.
  • 3. Deactivate all calendars that do not refer to the project. Click on >Calendar< in the start screen.
  • 4. Go to the file manager of the app and click on Backup in the footer.

Import backup with all files for an event

Import a backup that you have created for a specific date with FileCalendar.

  • Open the event and select the cloud icon.
  • Click on >Import Files<
  • Click >Select< to select the backup.
  • Click on >Next<.
  • Backups can also be imported with the >+< icon. Click on >Documents< before.
  • To better read the files in the iCloud drive, we recommend that you rotate the device horizontally as shown in the picture below and then click >Date<.

Transfer files from Mac to FileCalendar

Files can be transferred to other iOS devices with AirDrop and stored there in the FileCalendar.

  • Start on the iOS device >AirDrop<.
  • Go to your Mac and start >Finder<
  • Mark the desired files with the CMD key (`⌘`) and the > mouse<.
  • Switch to >File< and select >Compress objects<.
  • Click on the compressed files (Archive.zip) and then on the >Filesharing< icon in the menu bar.
  • Take your iOS device in your hand. Several destination apps will be displayed to transfer the files. Select the FileCalendar App.
  • Choose the date, the date with the >attach button<

Copy or move files from event to event

All files and contacts can be copied in the FileCalendar or moved to another event.

  • Go to the event where the files to be copied or moved are located.
  • Click on >Edit<
  • Select the files to be copied or moved.
  • Select the icon with the arrow pointing to the right.

Create backup for all files in the event

With just a few clicks, you can create backup copies with all the files and contacts you have saved for an event.

  • Open the event and click on the cloud icon.
  • Select >Transfer files<.
  • Click on >Next<.
  • Select a folder and finish with >Save<.
  • The backup copy is a zip file. It can be imported into the event at any time with >Import Files<. Click on the cloud symbol in the event.

Privacy statement

Personal rights are important to us. We have therefore developed a privacy statement that describes what data is collected, stored or forwarded through the use of the app. The full explanation can be found at https://filecalendar.com/en/privacy-statement.
With the FileCalendar you can save documents, pictures, contacts, links and notes to events. The app accesses the calendar for this purpose (Apple Calendar). The user should allow access to the calendar. Access can be enabled and disabled under 'Settings / Privacy'. Since the FileCalendar needs access to the calendar, the app is not usable if the Apple calendar is deactivated.
The user can also connect other calendars (such as Google Calendar) to his device. The corresponding events are then also available in FileCalendar.
The storage of documents, images, contacts, links and notes to the calendar appointments that the user adds to the FileCalendar is done exclusively locally on the respective iOS device. Technically required calendar information for this process is also stored locally on the respective device. Homburg & Schmidt UG (haftungsbeschränkt) has no access to this data.

Calendar appointments that the user creates, changes or deletes in FileCalendar are automatically synchronized with corresponding calendars (e.g. Apple or Google). Homburg & Schmidt UG (haftungsbeschränkt) has no access to these data.

The 'info' page of the app is connected to our website via a secure SSL encryption. In this context we would like to point out that no cookies are stored (see section A, no. 2). An integration of web fonts does not take place either (see section A, no. 6). As soon as the user clicks on the 'Info' button in the app, the connection to the page is established so that the user manual can be loaded and displayed on the app's info page. The connection to our website is established with the Safari browser. The app uses the WebKit of Apple Inc. When you open the 'Info' page, information is stored in so-called server log files, which your browser automatically sends to us (see section A, no. 5).

If you send us a message by e-mail or via our contact form, the information you have given us will be stored by us for the purpose of processing your request and possible follow-up questions. This data will not be passed on to third parties without your consent. Section A., No. 3 of our privacy policy applies accordingly.
Privacy policy for the use of Firebase Crashlytics
The App uses Firebase Crashlytics, a technology from Google Inc, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA ("Google"), to help us quickly determine and eliminate causes that led to the App malfunctioning or crashing (error messages). If the user is allowed to send information in the App under OPTIONS, information on the use of the App (such as frequency and duration) is made available to us via Google. We receive specific information such as type and version of the device, operating system version, code locations for the crash, time of the crash and other technical information. This information, which helps us to improve the product, does not include any personally identifiable information about the end user.

Alert (reminder)

In >Event Details< you can active a reminder for your events. This is how it is done:

  • Got to the event.
  • Click on >Date Details<
  • Click on >Edit<
  • Go to >Alert< below

Activate camera

Check whether the camera for the FileCalendar is activated on the device. This is how it is done:

  • Go to >Settings< on your device.
  • Select >Privacy<
  • Select >Camera<
  • Activate FileCalendar

Exchange files across devices

There are three options available to transfer files to the FileCalendar of another iOS device

Option 1: Share all files in the event via Cloud App

  • Share all files in the event via Cloud App
  • Share selected files via Cloud App
  • Direct transfer with AirDrop
  • This option is technically supported. All files are automatically packaged in a zip file named after the event before transfer. The exchange of files across devices is simplified with a help of a user interface.

  • Open the event and click on the cloud icon.
  • Select >Transfer files<.
  • Click on >Next<.
  • Select a folder and finish with >Save<.

    Start the FileCalendar on the other device.

    • Open the event and select the cloud icon.
    • Click on >Import Files<
    • Click >Choose< to select the file.
    • Click on >Next<.
    • You can also import the file by clicking on >Documents< in the event and then on the plus symbol.

    Start AirDrop by clicking on the round button and then select the target device to transfer the file.

    Switch to the other iOS device. There the navigation window >AirDrop Open with ...< appears. Select the FileCalendar and the date. Then confirm with >attach<. Done!

Events are not displayed

If the desired date cannot be found, the following checks are necessary:

  • Go settings on your device
  • Calendar
  • Sync
  • All Events

Only active calendars are displayed in the FileCalendar. On the home screen (below), click Calendar to activate the calendar you want.

Notes

Notes are created device related as a file or entered classically in the known note field of the calendar.

With the note variant as a file, several notes can be created for the event and saved in the Notes folder. The notes are portable and can be forwarded with file sharing.

  • Go to the event.
  • Click on the folder >Notes<
  • Click on the + symbol in the header.
  • Create the note.

All notes can be dictated. To start the function, click on the microphone icon in the keyboard.

Quick start guide

Learn how the FileCalendar works: Save your first document to a calendar date in four steps. Use an email attachment.

  • Select the mail with the file attachment.
  • Keep the attached file pressed until the navigation area with the FileCalendar icon appears.
  • Click the FileCalendar icon on the navigation pane to transfer the file to the FileCalendar.
  • Select a calendar date to save the file.

Synchronize calendar events

Your events are automatically synchronized with the standard calendar. Events are synchronized across all devices.

Rename files

  • Go to the event and kick on >Edit<.
  • Mark the file.
  • Click on the icon below to rename the file.

Transfer photos to iCloud

Photos and movies created in FileCalendar always remain on the device. To use them on other devices, they must be made accessible by transferring them to another app or device. We recommend that you transfer photos or movies with >Save Image< to iCloud.

That's how it's done:

  • Open the file in the FileCalendar
  • Click on the file sharing icon.ol.
  • Select >Save Image<

Supported file formats

More than 20 popular file formats are supported, among others:

  • docx, pptx, txt, xlsx, key, numbers, pages, pfd, jpg, png, mp4, m4a, zip

File Manager

The app is equipped with an easy-to-use file manager that can be opened by clicking on the left icon in the header of the home screen. All saved files are clearly displayed there.

Click on the calendar icon in the header of the home screen to start the week view. In >Options< you can set the week view as default view. three stripes. Click on this symbol to get all files of the week.

Import files into the FileCalendar

The import function can be used to import files within a FileCalendar event. Zip files are unpacked.
All files, contacts and links stored in FileCalendar on the iPad or iPhone are offered for selection in the document, contact, links, notes and pictures folder. You can also access files stored in cloud applications (e.g. iCloud Drive or Dropbox) from the document folder. Is it a prerequisite that a corresponding Cloud App is installed on the device.

Transfer files from other apps

Files can be saved by all apps to calendar events that support the FileCalendar.

How to start the transfer process

Cloud apps like DropBox or Google Drive offer different ways to start the transfer process.

Transfer files to your Mac

  • Open the FileCalendar
  • Click on the event
  • Select the file
  • Click on the >File sharing< icon
  • Choose your Mac

Delete files

There are three ways to delete files in FileCalendar:

  • Open the file manager. Select Edit and mark all files to be deleted. Click on the trashcan icon.
  • In the FileCalendar, select the event in which the file is located. Drag the file to the left to delete it.
  • Delete the event to which the file is associated. Before doing so, make sure that no files you need are stored on other devices at this time.

Change colors

In the FileCalendar all events and files are always displayed in the color of the respective calendar. The calendar colors can be changed with a few clicks in FileCalendar.

  • Start the FileCalendar app and click on Calendar in the footer.
  • Select the appropriate calendar and right click on the round >i< icon.
  • Change the color and confirm with >Done< in the header line.

Other colours

You can also customize your calendar colors in iCloud under Calendar. Go to https://icloud.com and open your account there.

Merge files into Zip folders

The FileCalendar can be used to create Zip folders from multiple files. Zip folders can be uploaded to cloud storage services and stored, for example, as backup files. It is also possible to forward the Zip files with the mail app or transfer them to another device with AirDrop.
This is how it is done:

  • Open the file manager or click >All files< in >Event<.
  • Klick an >Edit<
  • Select files.
  • Click on the >File sharing< icon.
  • Rename the Zip folder if necessary.
  • Select the app to which the zip file should be transferred.

Documents stored in FileCalendar can be transferred to other apps and edited there. To ensure that the latest version is always available in the FileCalendar, the file should be transferred back to the FileCalendar after editing.

  • Start the FileCalendar
  • Select the event with the saved file
  • Seect the file
  • Click on the file sharing icon and then on the app you want to use to edit the file
  • Edit the file and save it in the app to preserve the customizations

Transferring files back to the FileCalendar

  • Search the app for a file sharing icon. Apps sometimes also offer text buttons like >Transfer Files<, >Copy Files<, etc.
  • Select the FileCalendar icon
  • Select the date and then calendar event. Confirm with >Add<
  • You can change the file name when you add the file: Add a version number.

Edit files

Option 2: Open file for editing with a link

  • Transfer file to another app for editing
  • Open file for editing with a link

Documents can be opened and edited in FileCalendar using a link to iCloud Drive or Dropbox.

Insert link to file in FileCalendar

  • Go to your file in iCloud Drive or Dopbox and create a link there.
  • Open the FileCalendar.

  • If you click on the Copy & Paste icon, the copied link will be inserted.
  • Give the link a name (Name of the link).
  • Tip: In the dropbox app, the links to the respective files can be found and copied very easily. This is also possible in the iCloud Drive. To do this, go to the files app, open a file in the iCloud drive, click the round >icon with the contact and the plus icon<, click >More< and then click >Copy Link<.

Transfer files to cloud storage services

With FileCalendar, files can be transferred to cloud storage services such as Dropbox, Google Drive, iCloud Drive or OneDrive. They can then be accessed on all connected devices. The app have to be installed on your iOS device for each cloud storage service you want to use.

  • Start the FileCalendar
  • Go to the calendar event where the file is located
  • Open the file
  • Click on the file sharing icon
  • Select the cloud app to which the file should be transferred
In-App Purchase

Recover deleted files

Files deleted with the app can be restored within 30 days. This feature is activated with the In-App Purchase Additional functions for files. This function can be used to restore files (documents, links, pictures and notes) that have been deleted after the in-app purchase.

  • Go to the file manager
  • Click on the lifebuoy symbol.
  • If deleted files appear, recovery is possible. Click on >Edit< and mark the files.
  • Click on the file sharing icon pointing to the right to link the selected files to an event in FileCalendar.
